Quick Start Guide

Welcome to rendevo! Get your AI booking system up and running in 10 minutes. This guide covers the essentials to start accepting bookings.

What You'll Need

Before starting, have these ready:

  • Facebook Business Account (to connect WhatsApp, Messenger, or Instagram)
  • Business phone number (if connecting WhatsApp)
  • List of services you offer with durations
  • Your typical business hours

💡 Tip: Gather this information first to speed up setup.

Step 1: Connect a Communication Channel (5 minutes)

rendevo's AI talks to customers through messaging platforms you already use.

Choose Your Platform

  1. Click Integrations in the sidebar
  2. Select one to connect:
    • WhatsApp Business ✅ All plans - Most popular
    • Messenger 📘 Growth and Business plans
    • Instagram 📷 Growth and Business plans

Connect Your First Channel

For WhatsApp:

  1. Click Connect on the WhatsApp card
  2. Log in with your Facebook Business account
  3. Select your Business Manager
  4. Choose your WhatsApp Business account (or create one)
  5. Grant message permissions
  6. Wait for confirmation (usually instant)

For Messenger or Instagram:

  1. Click Connect on the platform card
  2. Log in with Facebook
  3. Select the Page or Instagram account to connect
  4. Grant permissions
  5. Confirm connection

⚠️ Important: You need a Facebook Business Manager account. Create one at business.facebook.com if needed.

ℹ️ Note: You can connect multiple platforms. Start with one and add more later.

Step 2: Add Your First Service (2 minutes)

Tell the AI what services you offer so it knows what to book.

Create a Service

  1. Go to Services in the sidebar
  2. Click + Add Service
  3. Fill in the required fields:

Service Name (required)

  • Be specific: "Men's Haircut" not just "Haircut"
  • What customers will see in booking options

Duration (required)

  • How long the service takes: 15, 30, 45, 60, 90 minutes, etc.
  • Range: 5 minutes to 8 hours

Price (required)

  • Enter your price (your currency is set in Settings)
  • The AI will tell customers this price

Description (optional but recommended)

  • Helps the AI explain your service
  • Example: "Classic cut with wash and style"

Location (required)

  • Assign to at least one location
  • If you have multiple locations, select where this service is offered
  1. Click Save

Add More Services

💡 Tip: Add 2-3 services minimum. You can add more anytime.

ℹ️ Multi-service bookings: Customers can book multiple services back-to-back (e.g., Haircut + Beard Trim).

Step 3: Set Your Availability (2 minutes)

Tell rendevo when you're open for bookings.

Configure Business Hours

  1. Go to Settings → Availability tab
  2. For each day of the week:
    • Toggle Open if you work that day
    • Set Opening time (e.g., 9:00 AM)
    • Set Closing time (e.g., 6:00 PM)
  3. Click Save

Important Settings to Know

Min Advance Hours (default: 24)

  • How soon can customers book?
  • Example: Set to 2 hours if you accept same-day bookings

Max Advance Days (default: 90)

  • How far in advance can customers book?
  • Example: Set to 30 days if you plan month by month

Buffer Time (default: 0)

  • Minutes between appointments for cleanup or prep
  • Example: Set to 15 minutes for buffer between clients

💡 Tip: Start with default settings. You can adjust based on your needs.

Step 4: Share Your Booking Link (1 minute)

Your booking page is ready! Share it so customers can book directly.

Get Your Link

  1. Go to Dashboard (home screen)
  2. Find the Booking Link section
  3. Click Copy Link

Where to Share It

  • Facebook page description

  • Contact page
  • Homepage
  • Service pages

✉️ Communications

  • Email signature
  • Automated replies
  • Direct messages to customers

📄 Offline

  • Download QR code

  • Display in your location

💡 Tip: The Dashboard also has quick share buttons for WhatsApp, Facebook, and Instagram.

What Happens Next

When a customer messages you:

  1. ✅ AI greets them instantly
  2. ✅ Asks what service they need
  3. ✅ Checks your real-time availability
  4. ✅ Offers available time slots
  5. ✅ Collects customer information
  6. ✅ Confirms the booking
  7. ✅ Sends you a notification

Test It Yourself

  1. Send a test message to your connected platform from a different phone
  2. Try booking an appointment
  3. Check that it appears in your Calendar
  4. Verify you received a notification

⚠️ Important: Use a personal phone for testing, not your business number.

What to Do Next

Check Your Dashboard

Go to Dashboard to see:

  • Today's bookings - Appointments scheduled for today
  • This week - All upcoming bookings
  • Quick actions - Create appointment, view calendar, check messages
  • Upcoming appointments - Next 5 appointments

💡 Tip: Check your Dashboard daily for the first week to monitor AI performance.

  • Add custom knowledge to AI
  • Adjust confidence threshold
  • Set conversation limits

Common Questions

Q: How do I know if the AI is working?
A: Check your Inbox. You'll see all conversations, AI responses, and booking confirmations.

Q: Can customers book on my website?
A: Yes! Your booking link works as a standalone page. Embed it or link to it from your website.

Q: What if the AI can't answer a question?
A: The AI will escalate to you. You'll see "Requires Human" in your Inbox and get a notification.

Q: Can I still manage bookings manually?
A: Absolutely! Go to Calendar and click New Appointment to book manually anytime.

Q: How many bookings can I get?
A: Depends on your plan:

  • Free: 5 AI bookings/month
  • Solo: 50 AI bookings/month
  • Growth: 150 AI bookings/month
  • Business: 400 AI bookings/month

ℹ️ Note: Manual bookings you create yourself don't count toward this limit.
