Using the Calendar
Your Calendar is where you view, manage, and create all appointments. This guide covers everything you need to know.
Accessing Your Calendar
Click Calendar in the sidebar, or use the Today's Calendar quick action on the Dashboard.
Calendar Views
rendevo offers two main ways to view your appointments: List View and Calendar View.
List View (Default)
Simple, scannable list of appointments organized by time period.
Today Tab
What it shows: All appointments scheduled for today
Useful for:
- Morning routine - see who's coming in
- Quick glance at your day
- Marking appointments as completed
Empty state: "No appointments scheduled for today"
Upcoming Tab
What it shows: All future appointments starting from tomorrow
Sorted by: Date and time (earliest first)
Useful for:
- Planning ahead
- Preparing for busy periods
- Reviewing next week's bookings
Past Tab
What it shows: All completed, cancelled, or no-show appointments from previous dates
Sorted by: Most recent first
Useful for:
- Reviewing booking history
- Checking customer visit patterns
- Looking up past appointment details
Performance note: Past tab loads the most recent appointments. Very old bookings may take a moment to appear.
Calendar View (Week/Month/Day)
Visual calendar display powered by react-big-calendar.
Week View
What it shows: 7-day week view with time slots
Time display: Your location's timezone
Features:
- See appointments in time blocks
- Visualize your schedule at a glance
- Identify busy and available periods
Default view: Opens to current week
Month View
What it shows: Full month calendar
Useful for:
- Long-term planning
- Identifying busy/slow periods
- Spotting patterns
Appointment display: Shows appointment count per day, click to see details
Day View
What it shows: Single day with hourly time slots
Most detailed view: See exact appointment times and durations
Useful for:
- Detailed daily planning
- Checking for gaps between appointments
- Precise scheduling
Switching Views
Navigation:
- Click Week, Month, or Day buttons at top
- Use Today button to jump to current date
- Use arrow buttons to navigate forward/backward
💡 Tip: List View is faster for quick checks. Calendar View is better for visual planning.
What Appointments Are Displayed
Filtering Logic
Calendar View (Week/Month/Day):
- Shows current and future appointments only
- Past appointments are automatically filtered out
- Reason: Calendar is for planning ahead
List View:
- Today: Only today's appointments
- Upcoming: Future appointments
- Past: Historical appointments
ℹ️ Note: If you don't see an old appointment in Calendar View, check the Past tab in List View.
Multi-Service Appointment Display
When a customer books multiple services (e.g., Haircut + Beard Trim):
List View:
- Shows as one appointment
- Badge: "Multiple Services" or "X Services"
- Displays customer name and service count
Calendar View:
- Shows as single time block
- Spans from first service start to last service end
- Title: "Customer Name - X Services"
- Click to see all services included
Example:
- Haircut: 2:00 PM - 2:30 PM
- Beard Trim: 2:30 PM - 2:45 PM
- Calendar displays: 2:00 PM - 2:45 PM "John Smith - 2 Services"
Appointment Information
Each appointment card/block shows:
Customer Name
Who the appointment is for
Service Name(s)
- Single service: "Men's Haircut"
- Multiple services: "2 Services" or list of services
Date & Time
- Format: "Mon, Dec 15 at 2:00 PM"
- Timezone: Displayed in your location's timezone
- Duration: Visible in Calendar View as time block length
Status Badge
Color-coded indicators:
Scheduled (Primary blue)
- Default status for new bookings
- Awaiting confirmation or completion
Confirmed (Accent color)
- Customer confirmed attendance
- Manually marked by you
Completed (Green)
- Service was performed
- Appointment is finalized
Cancelled (Red, semi-transparent)
- Appointment was cancelled
- Visible but marked as cancelled
No Show (Warning yellow/orange)
- Customer didn't arrive
- Tracked for customer history
💡 Tip: Update statuses to keep accurate records and track customer reliability.
Search & Filters
Quickly find specific appointments.
Search by Customer Name
- Type customer name in search box
- Results filter in real-time
- Works across all tabs (Today, Upcoming, Past)
Example: Type "John" to see all appointments for customers named John
Filter by Service
- Click Service dropdown
- Select a service
- See only appointments for that service
Use case: "Show me all haircut appointments this week"
Filter by Staff Member
Available on: Growth and Business plans (with team members)
- Click Staff dropdown
- Select a team member
- See only their appointments
Use case: Check what Maria has scheduled today
Filter by Location
Available on: Growth and Business plans (with multiple locations)
- Click Location dropdown
- Select a location
- See only appointments at that location
Use case: View Downtown location's schedule separately
Filter by Status
- Click Status dropdown
- Select: All, Scheduled, Confirmed, Completed, Cancelled, No Show
- Results update immediately
Use cases:
- Show only confirmed appointments
- Review all cancelled bookings
- Check no-show rate
Combining Filters
You can use multiple filters simultaneously:
Example: Show Maria's confirmed haircut appointments at Downtown location
ℹ️ Note: Filters apply to current view (Today, Upcoming, or Past)
Creating Manual Appointments
Book appointments yourself directly in the calendar.
Quick Create
- Click New Appointment button (top right)
- Fill in appointment form
- Save
From Calendar View:
- Click any time slot on the calendar
- Form opens pre-filled with that date/time

Timezone Handling
How Times Are Displayed
Your view: All times shown in your location's timezone
Backend storage: All appointments stored in UTC
Conversion: Automatic when displaying to you
Timezone Badge
Location: Top right of Calendar View
Shows: Current location's timezone (e.g., "Europe/Athens EET")
Why it matters:
- If you have multiple locations in different timezones
- Confirms which timezone you're viewing
- Prevents scheduling confusion
Multi-Location Timezone Scenario
Example:
- Athens location: GMT+2
- London location: GMT+0
If viewing Athens appointments: Times shown in GMT+2
If viewing London appointments: Times shown in GMT+0
ℹ️ Note: Calendar automatically converts to correct timezone when you switch locations.
Appointment Actions
Click any appointment to open details modal with these actions:
View Details
- Full customer information
- Service details
- Pricing
- Notes
- Booking source
Edit Appointment
- Change date/time
- Switch service
- Update customer info
- Add notes
Change Status
- Mark as Confirmed
- Mark as Completed
- Mark as No Show
- Cancel appointment
Delete Appointment
- Permanently remove
- Cannot be undone
- Use Cancel instead if customer cancelled

Calendar Best Practices
Daily Routine
Morning:
- Open Calendar → Today tab
- Review appointments for the day
- Check for any unconfirmed bookings
- Prepare for first appointment
Throughout day:
- Mark appointments as Completed after each service
- Check for new bookings in Upcoming tab
- Respond to any cancellations
Evening:
- Complete any unfinished status updates
- Review tomorrow's schedule
- Prepare for next day
Weekly Planning
Monday morning:
- Switch to Week View
- Review entire week's bookings
- Identify busy days
- Plan staff schedules (if applicable)
- Check for gaps - time to promote!
Monthly Planning
Start of month:
- Switch to Month View
- Look for patterns: Which days are busiest?
- Plan promotions for slow periods
- Block out vacation time
Status Update Discipline
Why it matters:
- Accurate business metrics
- Customer reliability tracking
- Revenue reporting
- Historical records
Best practice: Update appointment status immediately after completion or cancellation
Performance Tips
Slow loading?
- Past tab loads recent appointments first
- Very old bookings may take extra time
- Use search/filters to narrow results
Too many appointments?
- Use filters to focus on what you need
- Switch to Day View for detailed daily view
- Use search for specific customers
Calendar View slow?
- List View is more performant for many appointments
- Use List View for quick checks
- Use Calendar View for visual planning
Features NOT Currently Available
ℹ️ Important: These features do not exist in the current version:
❌ Color coding by status - All appointments use status-based colors in Calendar View but not customizable
❌ Drag-and-drop rescheduling - Cannot drag appointments to new times. Use Edit instead.
❌ Custom calendar views - Only Week, Month, Day available. No custom time ranges.
❌ Calendar sync export - Cannot export calendar to .ics or other formats
❌ Recurring appointments - No built-in support for repeating bookings
✅ What IS available: Google Calendar integration (one-way sync to Google)
Common Questions
Q: Why don't I see past appointments in Calendar View?
A: Calendar View only shows current and future appointments. Use Past tab in List View for historical bookings.
Q: Can I drag appointments to reschedule them?
A: No, drag-and-drop is not supported. Click the appointment and use Edit to change date/time.
Q: How do I color-code appointments?
A: Appointments are automatically color-coded by status (Scheduled, Confirmed, Completed, etc.). Custom colors are not available.
Q: Why does the time look wrong?
A: Check the timezone badge (top right). Times are shown in your location's timezone.
Q: Can I print my calendar?
A: Not directly. Use your browser's print function on Calendar View.
Q: How far back can I see past appointments?
A: All historical appointments are available in the Past tab. Very old ones may load more slowly.
Q: Do manual bookings I create count toward my AI booking limit?
A: No! Only AI-created bookings count. You can create unlimited manual appointments.
