Calendar Sync Issues

Focused troubleshooting for Google Calendar synchronization problems.

Understanding Calendar Sync

What Syncs

rendevo → Google Calendar (One-way sync):

  • Creates Google Calendar event when appointment created in rendevo
  • Updates event when appointment modified in rendevo
  • Deletes event when appointment cancelled in rendevo

Important: Changes in Google Calendar do NOT sync back to rendevo. This is intentional design.

Sync Timing

Normal behavior:

  • New appointment: Event created within 1-2 minutes
  • Updated appointment: Event updated within 1-2 minutes
  • Cancelled appointment: Event deleted within 1-2 minutes

If sync takes longer:

  • Up to 5 minutes can be normal during peak times
  • Beyond 5 minutes: likely an issue

Events Not Creating

Quick Diagnostic

Step 1: Check Integration Status

  1. Go to Settings → Integrations
  2. Find Google Calendar card
  3. Status should show:
    • Green "Connected"
    • Recent "Last synced" timestamp

If status shows error or disconnected:

  • Click Disconnect
  • Wait 30 seconds
  • Click Connect
  • Grant all permissions
  • Test with new appointment

Step 2: Verify Permissions

  1. Visit myaccount.google.com/permissions
  2. Find "rendevo" in connected apps
  3. Click to view details
  4. Required permissions:
    • See, edit, share, and permanently delete all calendars
    • View and download calendars

If permissions incomplete:

  • Remove rendevo app access
  • Return to rendevo Settings → Integrations
  • Disconnect Google Calendar
  • Reconnect (will request permissions again)
  • Grant ALL permissions when prompted

Step 3: Check Correct Calendar

Where events go:

  • rendevo syncs to your primary Google Calendar by default
  • Not to secondary calendars

To find events:

  1. Open calendar.google.com
  2. Left sidebar shows all calendars
  3. Ensure primary calendar is checked/visible
  4. Look for your rendevo appointments

To check which is primary:

  1. calendar.google.com
  2. Settings (gear icon) → Settings
  3. Left menu: "Settings for my calendars"
  4. First calendar listed is usually primary
  5. Or look for calendar marked "Primary"

Events Creating in Wrong Calendar

Problem

Events appear in a calendar you don't usually check.

Why This Happens

Google Calendar structure:

  • One account can have multiple calendars
  • "Primary" calendar is the default
  • rendevo creates events in primary calendar

Solution Options

Option 1: Make Desired Calendar Primary

Warning: This changes Google Calendar default behavior.

  1. Go to calendar.google.com/calendar/syncselect
  2. The calendar at the top is your primary
  3. Google doesn't allow easily changing primary
  4. Workaround: Export events from current calendar, import to desired calendar

Option 2: Show All Calendars in Google Calendar View

  1. calendar.google.com
  2. Left sidebar: "My calendars"
  3. Check ALL calendars you want to see
  4. Events from all checked calendars will display
  5. rendevo events will appear even if in different calendar

Option 3: Accept Current Behavior

  • Events are syncing correctly
  • Just appearing in a specific calendar
  • Make sure that calendar is visible in your view
  • Color-code it for easy identification

Events Not Updating

Problem

Change appointment in rendevo but Google Calendar event stays unchanged.

Diagnostic Steps

1. Wait and Refresh

  • Changes can take 1-2 minutes
  • Refresh Google Calendar page (Ctrl+R or Cmd+R)
  • Check if event updated

2. Check Last Sync Time

  • Settings → Integrations
  • "Last synced" timestamp
  • If old (>10 minutes): sync may be stuck

3. Force a New Sync

  • Edit appointment in rendevo again
  • Make a small change:
    • Add a note
    • Change time by 5 minutes then back
    • Update status
  • Save
  • This triggers new sync event
  • Wait 1-2 minutes
  • Check Google Calendar

4. Verify Event Linkage

  • rendevo tracks which Google Calendar event ID corresponds to each appointment
  • If this link breaks, updates won't sync
  • Unfortunately, no way to relink existing events
  • Future events will sync correctly

5. Reconnect Integration

If updates consistently not syncing:

  1. Settings → Integrations → Google Calendar
  2. Disconnect
  3. Wait 1 minute
  4. Reconnect
  5. Edit a rendevo appointment
  6. Verify update appears in Google Calendar

Note: Existing events may need to be manually updated in Google Calendar. New events and changes will sync correctly going forward.


Events Not Deleting

Problem

Cancel appointment in rendevo but Google Calendar event remains.

Why This Happens

Possible causes:

  1. Sync delay (1-2 minutes normal)
  2. Event link broken
  3. Permissions issue
  4. Sync temporarily paused

Solutions

1. Wait and Refresh

  • Deletion can take up to 2 minutes
  • Refresh Google Calendar
  • Check if event removed

2. Manual Deletion

  • Go to calendar.google.com
  • Find the event
  • Click event → Delete
  • Event removed from Google Calendar
  • Won't affect rendevo appointment status

3. Verify Delete Permissions

  • myaccount.google.com/permissions
  • Find rendevo
  • Permissions should include "permanently delete"
  • If missing: reconnect integration

4. Check Event Ownership

  • Can only delete events you own
  • If event was created by different Google account: can't delete
  • This shouldn't happen with rendevo, but worth checking
  • Event details show creator

Duplicate Events

Problem

Each rendevo appointment creates 2, 3, or more Google Calendar events.

Why This Happens

Common causes:

  1. Multiple sync triggers during connection process
  2. Reconnecting without proper cleanup
  3. Rapid create/edit actions triggering duplicate sync
  4. Browser extensions interfering

Immediate Fix (Manual Cleanup)

  1. Open calendar.google.com
  2. Identify duplicate events (same name, time, date)
  3. Delete all but one
  4. Keep the most recently created event

Permanent Fix (Reset Integration)

Important: This prevents future duplicates.

  1. Settings → Integrations → Google Calendar
  2. Click Disconnect
  3. Wait 5 full minutes (critical for cleanup)
  4. Clear browser cache:
    • Chrome: Ctrl+Shift+Delete → Cached images and files
    • Firefox: Ctrl+Shift+Delete → Cache
    • Safari: Cmd+Option+E
  5. Close and reopen browser
  6. Log back into rendevo
  7. Settings → Integrations → Google Calendar
  8. Click Connect
  9. Grant all permissions
  10. Create test appointment
  11. Wait 2 minutes
  12. Check Google Calendar
  13. Should see single event only

If duplicates persist:

  1. Check for browser extensions that might interfere
  2. Try connecting from different browser
  3. Contact support with screenshots

Preventing Duplicates

Best practices:

  • Don't rapidly disconnect/reconnect
  • Wait at least 5 minutes between disconnecting and reconnecting
  • Clear cache when reconnecting
  • Don't create multiple rendevo accounts syncing to same Google Calendar

Wrong Event Times

Problem

Event shows different time in Google Calendar than in rendevo.

Understanding Timezones

How rendevo handles time:

  • Appointments stored in location timezone
  • Example: Athens location → EET/EEST timezone

How Google Calendar handles time:

  • Events created with specific timezone
  • Google Calendar converts to your current timezone
  • Display time may differ from stored time

Common Scenarios

Scenario 1: You're in Different Timezone than Location

Example:

  • Location: Athens, Greece (GMT+2)
  • You: New York, USA (GMT-5)
  • Appointment: 3:00 PM Athens time
  • Google Calendar shows: 8:00 AM New York time
  • This is correct - same moment, different display

Verify:

  1. Click event in Google Calendar
  2. Check timezone shown
  3. Should match location timezone
  4. Time is correct for that timezone

Scenario 2: Daylight Saving Time Change

Example:

  • Book appointment before DST change
  • View after DST change
  • Time appears shifted by 1 hour
  • This is correct - clock time adjusted

Scenario 3: Multiple Location Timezones

Example:

  • Location 1: Athens (GMT+2)
  • Location 2: London (GMT+0)
  • Both appear in Google Calendar
  • Times shown in your timezone
  • May look "wrong" relative to each other
  • This is correct - different source timezones

Verifying Correct Time

In Google Calendar:

  1. Click event
  2. Event details popup
  3. Look for timezone indicator
  4. Time shown is for that timezone
  5. Google displays in your timezone by default

In rendevo:

  1. Open appointment
  2. Check timezone badge
  3. Shows location timezone
  4. Time displayed is location time

To sync your expectation:

  • Understand: Location time is the "real" time
  • Google Calendar converts for your convenience
  • Both systems showing same moment, different way

Missing Events for Specific Dates

Problem

Some appointments sync, others on specific dates don't.

Possible Causes

1. Appointments Created Before Integration

Sync behavior:

  • Only syncs appointments created AFTER connecting Google Calendar
  • Historical appointments don't sync
  • This is expected behavior

Workaround:

  • Manually create Google Calendar events for old appointments
  • Or: Edit old appointments in rendevo (triggers sync)

2. Date Range Limits

Check:

  • Google Calendar has no limit
  • rendevo syncs all future appointments
  • If appointment very far future (6+ months): sync may be delayed
  • Should eventually appear

3. Cancelled/No-Show Status

Sync behavior:

  • Cancelled appointments: event deleted from Google Calendar
  • No-Show appointments: depends on when marked

Check appointment status:

  • Go to Calendar in rendevo
  • Filter: "Cancelled"
  • These won't appear in Google Calendar

4. Specific Date Conflicts

Possible issue:

  • If date is a holiday in your Google Calendar
  • Or date has "Busy" blocker
  • Doesn't prevent sync, but may hide event

Check:

  • calendar.google.com
  • Show all calendars
  • Look for overlapping events

Events Show Wrong Customer Name

Problem

Google Calendar event shows unexpected customer name.

Why This Happens

Event title format:

  • rendevo creates events with format: "[Service Name] - [Customer Name]"
  • Uses customer name from contact record at time of sync
  • If contact name changes: future syncs use new name
  • Existing events keep old name

Solutions

If name was recently updated:

  1. Edit appointment in rendevo (make any small change)
  2. Save
  3. Triggers resync
  4. Google Calendar event updated with current name

If name is incorrect in rendevo:

  1. Go to Contacts
  2. Find and edit the contact
  3. Correct the name
  4. Save
  5. Edit any appointments for this contact
  6. Events will resync with correct name

For multiple appointments:

  • Must edit each appointment individually to trigger resync
  • Or: Accept current names and future bookings will have correct name

Sync Completely Stopped

Problem

Was working fine, now no events syncing at all.

Emergency Diagnostic

1. Check Integration Status

  • Settings → Integrations
  • Google Calendar status
  • Red error? Disconnected?

If error:

  • Click Reconnect
  • Complete OAuth
  • Test sync

2. Check Google Account Access

  • Go to myaccount.google.com/permissions
  • Is rendevo still listed?
  • If missing: You or Google revoked access
  • Reconnect in rendevo

3. Check Google Calendar Service

  • Visit status.cloud.google.com
  • Check Google Calendar status
  • If down: wait for Google to restore
  • Sync will resume automatically

4. Test with New Appointment

  • Create simple test appointment in rendevo
  • Wait 2 minutes
  • Check Google Calendar
  • If appears: sync is working
  • If doesn't appear: issue confirmed

Full Reset Procedure

If sync completely broken:

  1. Document current state:

    • Screenshot rendevo integration status
    • Note when sync last worked
  2. Disconnect:

    • Settings → Integrations → Google Calendar
    • Click Disconnect
    • Confirm disconnection
  3. Clean up:

    • Wait 5 minutes
    • Clear browser cache completely
    • Close all browser tabs
  4. Verify Google permissions:

    • myaccount.google.com/permissions
    • Remove rendevo if still listed
    • This ensures clean reconnection
  5. Reconnect:

    • Reopen browser
    • Log into rendevo
    • Settings → Integrations → Google Calendar
    • Click Connect
    • Grant ALL permissions
    • Don't skip any screens
  6. Test:

    • Create test appointment
    • Wait 2 minutes
    • Check Google Calendar
    • Event should appear
  7. Monitor:

    • Create 2-3 more test appointments over next hour
    • Verify all sync correctly
    • If yes: sync restored
    • If no: contact support

When to Contact Support

Contact support if:

  1. Followed all troubleshooting steps, sync still not working
  2. Events syncing but always with incorrect information
  3. Sync works sporadically (some events yes, others no) with no pattern
  4. Receiving specific error messages not covered here
  5. Need to sync to secondary Google Calendar instead of primary

Before contacting, gather:

  • Screenshots of:
    • Integration status in rendevo
    • Google Calendar permissions
    • Example of sync issue (missing event, duplicate, wrong time)
  • Approximate date/time sync stopped working
  • Browser and operating system
  • Steps already attempted

How to contact:

  1. Click "Get Help" in rendevo
  2. Select "Integration Issue"
  3. Provide all information above
  4. Submit
  5. Response within 24-48 hours
